LESS ROUTINE, MORE FOCUS

Guest enquiries, group quotations and internal reports often arrive at the same time. AI helps your team respond to every enquiry personally and in multiple languages.

THE STARTING POINT

These are the challenges your team faces every day.

Guests expect fast answers across languages and time zones.

Group and conference enquiries require extensive coordination.

Feedback, housekeeping and maintenance reports do not always reach the right people.

PRACTICAL APPLICATIONS

Turn incoming information into results you can verify.

AI prepares and structures information and supports your team as they work. Your people always retain responsibility and make critical decisions.

EVERYDAY GUEST SERVICE

Guests count on a fast, personal response, around the clock and in their own language.

Enquiries arrive together from email, webchat and portals. AI sorts them by topic and language, prepares evidence-based answers and hands every key decision to reception. Your team must approve any binding commitments.

INTEGRATIONS & REALITY CHECK

Every good idea needs a solid technical foundation.

PMS, booking platforms and CRM systems have different interfaces and licensing terms. I check that availability is up to date, along with write permissions, language and handovers to your team. Prices and bookings are confirmed only through approved, binding processes.

TWO EXAMPLES

Here is what getting started could look like.

All assumptions in these examples are for guidance only.

Example

This example considers an independent city hotel.

Prepare guest responses faster

  1. Bring together 500 monthly enquiries from email and webchat.
  2. Check against approved FAQs and escalate uncertain answers.
  3. Reception reviews responses and confirms binding details.

Hypothetical assumptions

500 tasks / month × 8 minutes · 60 % automation · 70 % realisation · 40 € fully loaded internal hourly rate

28 h / monthtime you could free up
13.440 € / yearfinancial benefit before project and operating costs

Limitations: Availability, bookings and prices must not be promised on the basis of outdated information. Time freed up does not automatically translate into payroll savings. Integration effort and error rates are not included in this simplified calculation.

Example

This example considers a conference hotel.

Keep conference enquiries moving

  1. Capture 80 monthly group enquiries in a structured format.
  2. Summarise participant numbers, dates and any missing requirements.
  3. The sales team reviews the draft quotation and follow-up.

Hypothetical assumptions

80 tasks / month × 30 minutes · 50 % automation · 65 % realisation · 48 € fully loaded internal hourly rate

13 h / monthtime you could free up
7.488 € / yearfinancial benefit before project and operating costs

Limitations: Complex arrangements and terms remain the responsibility of sales; capacity must be confirmed. Time freed up does not automatically translate into payroll savings. Integration effort and error rates are not included in this simplified calculation.

FREQUENTLY ASKED QUESTIONS

These answers help you make an informed assessment.

What does the EU AI Act mean for my business?

Since 2 February 2025, Article 4 of the EU AI Act requires businesses using AI systems such as ChatGPT or Microsoft Copilot to ensure their employees have sufficient AI literacy. Practical, documented AI training is central to this, including for teams with no prior knowledge.

Where is AI automation genuinely worthwhile?

AI automation is most useful for recurring information tasks with sufficient volume, clear rules and accessible data. An opportunity check assesses benefits, risks and integration effort before you invest.

Do we need new software or our own AI model?

Not necessarily. Existing tools can often be usefully extended. Whether a workflow, knowledge assistant or agent is appropriate depends on the process, data protection and available interfaces.

What happens to our business data?

Data types, access rights, provider terms and retention are clarified before the pilot. Sensitive information belongs only in approved environments. This does not replace any necessary legal review.
